Start Assigning Templates
First thing we'll start with is assigning templates to users and groups. You can navigate to the template you'd like to assign to a group.

Access Template Options
By using the preview button or the more button, you can click to edit tags, manage groups, and assign items to groups.

Choose Groups for Assignment
You can select the group you wish to assign your template to on this screen.

Or, click to navigate to the preview screen

Assign Templates via Preview
From here, click edit next to assign to groups, and select which groups you'd like to assign the template to.

Begin Sharing Template
Next we'll talk through sharing a template. Navigate to a template and click Use.

Review Sharing Options
You'll be navigated to the preview screen and given options to share externally or internally, as well as sharing with non-users via public link, embedded copy, email, download, or Slack

Review Sharing Options
Internal sharing enables you to distribute your content within your team, providing them with direct access to important or recently created designs.

Use Social Media and Internal Sharing
External share is where you'll go to post on your connected social media accounts. Or download documents and designs for print or other purposes.

Navigate External Share Editor
If you choose external share and the template is an editable template as shown here. You will be navigated through the design Editor to update any elements that are editable before posting. Non-editable templates will skip the design editor step and move directly to the create post screen.

Add Campaign Title
Click Add Title to title your campaign for analytics.

Edit Template Elements
For an editable template, you'll be taken to the editor screen. Here, you can modify images, text, QR codes, or any other elements in this section. Users will not have the option to edit any locked elements unless permitted by admins. After making your edits, click 'Next.'

Write or Generate Caption
Once your design is complete, you'll move to the post creation screen. Captions can be preset by admins, written by users, or generated by CLEO AI from a library of options or free-text prompts. You can also translate your design text or caption into over 130 languages directly from this screen. You'll be prompted to add a CTA link to drive traffic to a URL, and relevant hashtags — which can also be preset by admins to keep messaging consistent.

Add Links and Hashtags
Once you've entered your details, if approval workflows are active, you will send the post for approval by your selected approvers. If not, you'll be free to post directly from here.

Activate Approval Workflow
For approval workflows, you can turn on approvals in your user management screen under approvals.

Understand Approval Notifications
Approvals will require any user who creates a design to submit their design for approval and then creators or admins who are selected As approver, will be given a notification to review the design before posting.

Manage User Roles and Permissions
User roles are edited under user management and are explained further in another guide.

Handle Approval Denials and Notes
As an approver, you can approve the design directly from the notification. Alternatively, you may opt to request changes to the post or design. You may provide notes explaining your decision, allowing them to revise and resubmit for approval.
